Board Meeting MINUTES

February 9^th, 2009

Crossroads Church 6:30 PM

• Call To Order: Allan called the meeting to order at 6:41 pm.
• Members Present:  Deb and Corry absent.
• Secretary’s Report:  Corine motioned to accept the report.  Lori 2^nd.  All in favor.
• Treasurer’s Report: $11,921.19.  St. John’s needs $50 for using their facility for pictures.  We need to collect $3300 yet for costumes.  Discussion was made about one refund that has been requested.  Eric motioned that if the costume was not sized and ordered, a refund should be given.  Julie 2^nd.  All in favor.  Nikki motioned to accept the treasurer’s report and Corine 2^nd.  All in favor.
• New Business
  • Ice Show Committees:
    • Costumes:  Since $35 was paid for the deposit, an $18 balance is due.  Additional costumes will pay additional fee.  Julie talked about a budget for costume ordering to keep costs down.  Costumes will be handed out Thursday and Sunday.  Helpers will be needed to hand out and collect money.
    • Sweatshirts:  Orders and money due Thursday.  Questions about logo and what it looks like since it hasn’t been seen yet.
    • Videographer:  Nikki will email him the questions that were brought up.
    • Pictures:  Schedule will be posted on Thursday.
    • Flowers and Plush:  Deb will be meeting with Kevin after Valentine’s Day.
    • Airbrush Artist:  Eric booked the artist.  He will be at the Saturday shows and possibly the Friday show.  He will give $3 per item to Silverblades.  He will set up in the Lobby in the arcade area.  It takes about 15 minutes per item so he may have to take some orders.
    • Programs:  Keep information in order of show.  Should we state level of skater in the beginning of book?
    • Tickets:  Allan has extra – should he make?  Families will sell 5 tickets.  Sue will take care of handing out tickets.
    • Props and Decorations:  Central Wisconsin Theater has a castle back-drop that we can rent.  It is a painted canvas with plywood frame.  We need a covered trailer to transport.  Julie will call John.  Eric motioned for the decorating committee to have a budget of $500.  Lori 2^nd.  All in favor. 
    • Publicity/Advertising:  Get info into the paper.  We still need a picture of girls that participated in Badger State Games.
    • Set Up/Tear Down:  Glass will be down Sunday before show.  Scaffolding will arrive Saturday as well as Total Rental items.
    • Volunteers:  We still need a number of volunteers.  It will be posted.
    • School Ice Show:  Times were discussed in-depth, as well as number of students who will watch.  It should be about 638 students watching. 
  • Disney On Ice: 2/14 – There are 2 tickets left.  The bus will be leaving at 4:15 pm.
  • Miscellaneous:  Copier and candy where-abouts were discussed. 
  • Pizza Party:  Julie suggested giving business to Saloon DuBay.  She will look into costs.
