Board Meeting MINUTES

January 19th, 2009

Crossroads Church 7 PM

 

  • Call To Order: Allan called the meeting to order at 7:05 pm.
  • Members Present:  All present, minus Lynn.
  • Secretary’s Report:  Eric motioned to accept the report.  Corrine 2nd.  All in favor.
  • Treasurer’s Report:  The checkbook balance as of December is $11, 280.38.  The coaches will be given their 1099.  Taxes will be done by May 15th.  Eric motioned to accept the report.  Deb 2nd.  All in favor.
  • Old Business
    • Board Member Schedule to cover Ice Schedule: 1/22 Corine, Corrine, Deb, and Allan.  1/25 Eric, Corine, Deb, Allan, and Lori.  1/29 Corine, Allan, Deb, and Julie.  1/31 Corine and Deb.  2/1 All.  2/5 Allan.  2/8  Allan and Corrine.
    • Adult Basic Skills Class:  There are 7 adults in the class.
    • Ice Show Programs:  MHS Graphics Art club has agreed to help with layout.
    • Ice Show Director and Producer Rates:  Coaches accepted positions and rates.
  • New Business
    • Resignation:  Lynn submitted a resignation message via email.  Nikki motioned to accept Lynn’s resignation request dated January 8th noting her hours spent on fundraising will meet her volunteer hours.  Deb 2nd.  All in favor.
    • New Board Members:  Allan swore in Corine and Lori.
    • Ice Show Committees:
      • Costumes:  Costumes are slowly coming in.  January 24th is the last shipment date.  When will costumes be handed out?  February 12th and 15th are the tentative dates. 
      • Sweatshirts:  Sherri handed out order forms to all skaters.  Design still waiting on, but colors will be black with silver and pink.  Order date for sweatshirts if 2/5.
      • Videographer:  Will he tape 2 shows?  Email Woller to ask.  He will be paid at Saturday show.  We need forms for ordering DVD.  Allan will email form to Nikki.  It was suggested to make copies of who DVD’s were delivered to or write in a receipt book due to delivery problems last year.
      • Flowers and Plush:  Kevin has been called. 
      • Airbrush Sales:  Deb motioned for Eric to contact the airbrush artist and if there is no booking charge, to book him for the Saturday ice show.  Corry 2nd.  All in favor.
      • Pictures:  Deb is meeting with Laura J. Studios to schedule time of pictures.  She hopes to start at 8 am with pictures starting at 9 am on 2/21.  Allan asked about additional pictures at ice show with a backdrop.  Deb will look into this.
      • Programs:  Ryan has been emailed.  Barb is willing to help.  Contact High School for layout.  There was a question of what ads to still go for.  Will less ads this year lower cost of printing?  Should we list skaters and their experience?  Should we include Badger State participants?  There was a short discussion of ad costs:  1/8 is $10, ¼ is $25, ½ is $50, and 1 is $100.  Deb motioned to accept ad costs.  Eric 2nd.  All in favor.
      • Tickets:  Corrine motioned that tickets will cost $6 at the door, but $5 if presold.  Deb 2nd.  All in favor. 
      • Props and Decorations:  Talk was made of a castle and stars on the ice with the lobby themed to Mosinee Silverblades.  It was decided more stands and curtain should be ordered – Nikki will call.
      • Publicity/Advertising:  Tabled.  Allan asked Nikki to put in Mosinee Times community calendar as well as the Chamber’s sign by the bridge.
      • Set Up/Tear Down:  Allan will email parents of freestyle skaters to remind them of the extra help required.
      • Volunteers:  Deb has a list of help still needed.  Allan was given the list.
      • Fundraising:  There is a list of parents that have not met their fundraising obligation.  We need to get them the “30-day notice” letter.  Nikki will type up a letter and email to Eric.
      • School Ice Show:  It will be on 3/20.  Permission slips are needed – to be turned into club.  Line-up will be posted 1 week prior.  Who will sing National Anthem?
    • Badger State Practice:  2/2 from 3/5 pm.  Line up is ready and will be posted to keep things moving along.  Each skater is guaranteed 2 songs for practice with 1 additional song at the end (if time permits).  Concessions will be open.
  • Public Comments:
  • Next board meeting: Meeting on February 9th at Crossroads Church at 6:30 PM to discuss the ice show.  March meeting will be 3/2.
  • Adjourn: Corine motioned to adjourn at 8:20 pm and Corrine 2nd.  All in favor.
