Board Meeting MINUTES

December 19, 2007

Crossroads Church 7 PM

 

  • Call To Order: 7 pm
  • Members present:  Kurt, Allan, Nikki, Deb, Lynn, and Ryan.  Barb excused.  Chuck will be late.
  • Secretary’s Report:  Deb motioned to accept the report as written.  Lynn 2nd.  All in favor.  Deb motioned to accept the special meeting minutes (11/28) as written and Lynn 2nd.  All in favor.
  • Treasurer’s Report:  There has been 6-8 transactions since November minutes, including salary and misc.  Current total is $13,400 with the additional $7,000 in CD.  Lynn motioned to accept the report and Ryan 2nd.  All in favor.
  • Old Business
    • Coach Update:  One coach currently has an injured shoulder.  It was noted that there are no complaints from coaches regarding club.  Some groups have moved up and are doing well.
    • Fundraising: There are 2 letters going out to parents that haven’t met their fundraising commitment (letters were passed around for approval).  Ryan motioned to accept letters with needed spelling corrections and Deb 2nd.  Majority in favor.  One nay.
  • New Business
    • 501 (c)(3):  Meeting with Swid:  Chuck working with this, he shared that we will be able to go back 27 months.  Chuck also working with accountant and will have sent by year end. 
      • Independent Contractor Agreement – passed around for looking over.
      • Offer to resigning Creative Director accepted if we pay the mileage cost (request of $150).  Attorney feels we should accept and move on.  Allan motioned to pay the extra request and Chuck 2nd.  All in favor.  Check will be at Attorney’s office and papers will be signed. 
    • Ice Show: March 21-22
      • Vote on New Creative Director:  Motion was made by Deb to hire Chris as new Ice Show Producer (not title of creative director) and Lynn 2nd.  All in favor.  Chris has requested wages of $250.   Lynn motioned to accept this amount and Deb 2nd.  All in favor.  Laurie’s title was said to be Stage Manager.  Do we still need a narrator?  Melanie will let us know if Joe is still interested.
        • Same Theme, Different Show:  Exact ideas not shared yet, but waiting to hear from Chris– it was noted the idea of 3 eras and that Shelly is the club historian, who may offer help with the era information.
      • Past Skaters to Skate in Ice Show:  Haven’t heard of many wanting to do this; however, it was noted that one skater said yes and a couple others said they would be at shows for recognition.
    • Ice Show Committees:
      • Props and Decorations: Waiting for new direction from Chris.  Carol is a great help.
      • Ice Show Sweatshirts:  Color has been decided.  More info to follow.
      • Costumes: Some are in, but not all.
      • Videographer: Looking into a particular person.  Will know more soon.
      • Flowers and Plush: All is going well.  Kevin helping.
      • Publicity/Advertising: After Christmas will be contacting Community Calendar of Mosinee Times, other Newspapers, Billboard at Bank, and Radio.
      • Tickets (prices):  Prices will stay the same ($5).  Question of how to word cost on tickets since we are now non-profit.  It was suggested to use “suggested donation.”  Our raffle license is a Class B, which allows us to sell raffle tickets at each show.
      • Programs:  Ryan would like a list of everyone who has advertised in the past as well as who does trades for advertising.  Barb will help with this.  Ryan does have some new ideas for this year.  Melanie would like program ideas, as she is working on program printing.  Ryan shared that in the beginning of the program, he would like to see the Silverblades members with the number of years participated – a way to recognize skaters and their commitment.  Deb wondered if this should include competitions, but there would be a space issue.  Someone shared that this info could be published in the newsletter or on a poster at the ice show.
      • Set up/Tear Down: Freestyle parents will be in charge of this, but more volunteers will be needed.
      • School Ice Show:  Thursday, March 20th – this will be a shortened version of the show.  Melanie will do music and Allan will do color lights.
      • Volunteers: Still some needed – this needs to be posted!  We also need to send letters to any parents that have not volunteered for anything yet – giving them 30- days to sign up for what is left or they will be given a position.
      • Ice Show Producer: 
    • Advancing Skaters:  Pro-Rated Lessons – With 14 weeks of skating season, the pro-rating will be by the week.  This does not include ice show and ice show prep weeks.  Skater will pay higher rate when moving mid-season.  Deb motioned to accept this and Al 2nd.  All in favor.  Girls in Basic 8 have all passed, but will stay and officially move at end of season.
    • Hiring Student Coach:  This person will help cover the large Basic 1 group.
    • Badger State:  Registration 11/28-1/3, Registration $80, Competition 1/31-2/3 – the link is now on the website.
      • BSG exhibition (practice) – this will be the afternoon of Jan 27th at 2:30 (lasting approximately 90 minutes).
    • Accepting Nominations for New Board Member:  Allan thought we should form a nomination committee since there are 3 outgoing board members (Kurt, Chuck, and Barb).
  • Public Comments: Melanie questioned two coaches combining a recent practice for the high basic girls.  Brad questioned private lessons during the Freestyle time.  These are the highest paying skaters and they need, at least, ½ the ice.  It is a safety issue while doing routine.  Please ask the coaches about this and talk about working on skills vs. working on programs.  Someone shared that in the past, if more than one group was on the ice, they needed to stay with coach.  This should be limited to no programs practiced during this time or have one area on ice.  Brad wondered if acting in ice show was still on – Kurt mentioned he didn’t see this happening.
  • Next board meeting: January 16, 2008 at Crossroads Church at 7 PM
  • Adjourn: 8:14 pm with a motioned adjourn from Allan.  Lynn 2nd.  All in favor.
