Board Meeting Agenda

November 23, 2009

Crossroad Church 6:30 p.m.

 

1.         Call To Order: 6:34 p.m.

 

2.         Members Present: All present except Shelly

 

3.         Secretary's Report:  Julie motion to accept minutes with one change...Melanie's name, Eric          second.  All in favor.

 

4.         Treasurer's Report:  Postpone to next meeting

 

5.         Old Business: 

 

            Committee Updates

 

                        Membership Committee/Chair - Al Hahn- everyone is registered.  Final roster to be sent                out.  Need to register parents for father/daughter mother/daughter.  Have completed                        before practice starts (by end of January).

 

                        Website Committee/Chair - Al Hahn - need pictures of coaches and board.

 

                        Pro Liaison Committee/Chair - Julie Blomquist - no problems with coaching.  Been good              with time sheets.  One clipboard missing, need to replace.  Contracts signed by members,                        parents need to be signed for those under 18.  Are girls skater/coach or both?  If full                       coach, don't have to pay registration, if want to be in club, need to pay registration fee.  If                  only a coach, should only be in one number.  Need to have criteria.  Will be having 12                      girls that are beyond 6. Need to set guidelines early for next year.  Need to refer to USFS                        regulations.  Coaches want key to get in cabinet.  Can coaches lock up if board member                         is not present.  If coaches want to take responsibility to lock up, board decision.  No                skater should be on the ice without a coach for liability reasons.  Skater records/personnel                  files are in cabinet.  Keep the way it is.

 

                        Ice Schedule Committee/Chair - Al Hahn  Dec 6 - Ice from 3:45 - 5:45 p.m.  3:45 -4:15 =               group Freestye 1-6, 4:15 - 5:15 Hr 3 (last skaters on Sunday, white) 5:15-5:45 = Beyond                         High.  Try to have Hr 1 and Hr 2 skate on Saturday 12/5/09 between 7 - 9 a.m.  Do we                       keep Thursday 12/31/09 as regular basics skate?

 

                        Ice Show Production Committee/Chair - Brad Ludwig - solos, features picked. Music                    almost cut.  Need volunteer list.  Need behind the scenes person.  Not a lot of                                   monologue.  Will have narrator, guest speaker possibly.  Who will be in charge on the                 ice?  Get final line up, then watch where choreographed coming out.  Then discuss with              coach where come on and off ice.  Committee will determine and advise coach.   Need 2              or 3 parents that are prop personnel.   Will not have director.  A. S. will be skating as a                guest skater.

                       

                        Ice Show & Volunteer Organizer Committee/Chairpersons - Lori Denzin & Shelly Kraft

 

                        Keychains, buttons, club pin etc in Jerry's catalogue instead of plushies.  Have approx.                      77 plushies from previous year in stock - blowout. Leave for costume committee to    

                        decide what to do with extra tights. Try to match up with group numbers.

 

                        Newsletter/Chair - Shelly Kraft - will be having 3 or 4 per year.  Two done so far.

 

                        Fundraising Committee/Chair - Eric Kaiser - waiting for license, Class A & Class B.                      Cannot proceed until get it as needs to be typed on ticket. Need to sell 12 tickets (per                 family) @ $10.00/ticket.  Buyout = $120.

 

                        Ice Show Set up/Tear Down Committee/Chair - Brad Ludwig - can projector and screen                be purchased - approx. $1,000.  8' x 8' screen or larger.  Eric makes motion to let Brad                     purchase projector for club, hold off on screen until further discussion, Corry second, all in               favor. 

 

                        Ice Show Props/Decoration Committee/Chair - Julie Blomquist Co-chair - Carol Hahn                    Need volunteer list.  Going to contact one of the mom's regarding decorations she has.

 

                        School Ice Show Committee/Chair - Lori Denzin  What is the day?  3rd graders have                    concert on Friday.  Get format laid out before hand.  Corry made motion to have school                  show on Thursday, Eric second.  All in favor.  Figure out tech rehearsal after.  Send out                     invitation to school asap so they can put on their plans.  Usually @ 1:30, last year @ 1:20                        p.m. 

 

                        Marketing/Advertising Committee/Chair - Corry Lardinois Co-chair Lori Denzin  Will be                  contacting parents after Thanksgiving.

 

                        Merchandise Committee/Chair - Sheri Ludwig - order in..Can people order the tie-dyed                 shirts?  Yes, if Sheri is willing to. 

 

6.         New Business: 

 

                        Ice Show Photographer - Gail Wirsbinski & Laura J.  Check prices.  Gail being parent in                the club, should suggest her.  99 members. 

                       

                        Select a Director - None            

                        Select an Assistant Director - Laurie has been successful doing this in the past. Julie B.                       will check on Chris's involvement in the Timberlines ice show which is the same                                                                              

                 weekend.

 

                        Brad would like a bylaw committee formed. 

 

                        Need two more members on the board since we have 99 members.  Would be through                        April 2010.

 

                        Solo format - need to put something together for next year. Add to by-laws. Tabled to                            next meeting.

 

                        Eric - why does there have to be a certain number of duets, trios, quartets, etc. Based on                        number of girls in Freestyle groups, numbers of each group was determined to allow                           everyone to be included.

 

                        Schedule at the rink: 

 

                        Parent to be in charge of hot chocolate.

 

                        Reminder list of skater etiquette,

 

 

7.         Public Comments:  Music, does M. B.  have to sign contract?  No.  Had to pay registration by     Nov. 1.  Child could not skate and was very upset.  Should be consistent.  A member did not    .       pay deadline this year and no repercussions.

 

            Christmas parade - can candy be purchased? $200 to spend on candy and float.  Brad made a    motion to allot $200 to float committe for Christmas parade.  Julie second.  All in favor.  Eric has       banner to be used in parade. 

 

            Harness system - need to talk to Steve.  Ice rink will be moving to where the bleachers are and     bleachers (permanent ones) will be moving where the music is played.  Harness system must be     professionally installed.

 

            Add to next month agenda - how to handle non payment added to by-laws.  Swid/Anthony write up for board to approve.
